IHS Property Management “IHSPM” was established in 2015, as an inhouse property management company for International Housing Solutions “IHS” (a real estate fund manager), focusing on residential property management and sectional title sales in South Africa, Namibia and Botswana.

Our team has extensive residential management experience, has a passion for the industry and strives to provide service excellence.

IHSPM is expanding and is offering all services to external landlords as well as community scheme administration and finance.

IHSPM Community Schemes Management offers a range of services for your scheme. We also tailor make the services to suit the specific body corporate’s needs. We highlight below in summary some of the services that we offer.

IHSPM Community Schemes Management is a division within IHSPM that focuses on providing full management services such as administration, facilities management and compliance management for Body Corporates and Homeowners Associations.

Our team is comprised of professional and experienced staff that has a combined experience of years in the property services field. The management philosophy is anchored on providing services that are client centric, ensuring that there is full transparency and implementation of the scheme’s objectives.

We make use of WeConnectU software for all financial and administration processing related to Community Schemes Management. Access is available to Trustees to view/review data.

We pride ourselves in a very experienced team that will be responsible for managing your Body Corporate. We understand that a home is an investment, and a specialised team is responsible for day-to-day management services.

Financial Services

  • Facilitating the opening of two bank accounts, being an operational account and reserve fund We will manage these accounts on a day-to-day basis on behalf of the BC with trustees/owners to be appointed signatories.
  • Monthly reconciliations will be supplied as part of the reporting pack.
  • Monthly levy billing, statement distribution and daily receipting.
  • Payment of supplier invoices and monthly reconciliations.
  • Payment of utility accounts and reviewing of utility recoveries.
  • Preparation of draft budget proposals and monthly monitoring.
  • Performing monthly payroll function and staff payments.
  • Monthly reporting packs consisting of, income statement, budget variance reports, balance sheet, bank reconciliations and cashflow statements.

Administration

  • Landlord communication.
  • Facilitating trustee meetings.
  • Building insurance Management.
  • Global compliance management.
  • Co-ordinating of AGM and trustee meetings, minutes of the meetings and record keeping.
  • Registration at CSOS, submitting of returns and payments due.
  • Submission of tax returns and PAYE returns.
  • Owner communication.
  • Insurance and brokers management.
  • Processing of levy clearance.

  • Monthly billing and statements.

Facility Management

  • Onsite daily management.
  • Oversee security functions.
  • Cleaning and gardening.
  • Repairing and maintaining the properties.
  • Recommendations and assistance to establish 10-year maintenance plan.
  • Management of onsite building teams that handle day-to-day site operations.
  • Manager performs weekly site-visits.
  • Logging of repair calls and manage the repairs process with suppliers and contractors.
  • Attending to management of owner queries.
  • Creation and management of a 10-year maintenance plan.
  • Suppliers and contractors’ management.
  • Gather quotations, conduct summaries, and submit to Trustees for approvals.
  • Utility consumption analysis monthly and liaison with utility companies.
  • Enforce the body corporate rules (including instituting fines) as stipulated by the conduct rules on behalf of the body corporate.
  • Manage and monitor access control systems on site.

Credit Control

  • Conduct credit control on arrear levies following procedures stipulated/approved by Trustees, and Institute legal action against debtors on behalf of the body corporate.
  • To attend meetings with legal practitioners, experts, and or court proceedings on behalf of the Body Corporate.
